Who we are
Lotus Energy is a heating and heat pump engineering business based in Guildford, Surrey. We are the data controller for the personal information we collect from you. This policy explains what we collect, why, and what your rights are under UK data protection law (the UK GDPR and the Data Protection Act 2018).
The information we collect
When you contact us, request a quote, or submit an enquiry form (including a lead form on Facebook or Instagram), we may collect: your name, your email address, your telephone number, the address of the property you are enquiring about, and details of your enquiry such as your current heating system and what you are looking to do. We collect this information directly from you when you choose to provide it.
How we use your information
We use your information to respond to your enquiry, prepare a heating or heat pump estimate or quotation for your property, arrange and carry out surveys, design work and installations, keep records of work we have quoted for or carried out, and contact you about your enquiry or an ongoing job. Our lawful basis is our legitimate interest in responding to enquiries and running our business, and, where you have asked us to provide a quote or service, the steps necessary to enter into and perform a contract with you.
Who we share it with
We do not sell your personal information. We share it only with trusted service providers that help us run our business, including ServiceM8 (our job management and booking system), Spruce and Heat Geek tools (used to produce heat pump estimates and designs), and Meta (Facebook and Instagram), where you submit an enquiry through one of our social media lead forms. These providers act on our instructions and are required to keep your information secure. Some may process data outside the UK; where they do, appropriate safeguards are in place.
How long we keep it
We keep enquiry information only for as long as we need it to respond to you and, where relevant, to carry out and stand behind work we have done for you. Enquiries that do not lead to work are deleted within a reasonable period. Records relating to completed installations are kept longer where we need them for warranty, guarantee or legal reasons.
Your rights
Under UK data protection law you have the right to ask for a copy of the personal information we hold about you, ask us to correct information that is wrong or incomplete, ask us to delete your information where there is no good reason for us to keep it, object to or ask us to restrict how we use your information, and withdraw consent at any time where we are relying on it.
